Original guide RECORDS & SOURCES

A collection record: the shirt, nameset and open questions

One record per item to separate observations, seller statements and what remains unknown. Use it before buying and when agreeing arrival checks.

1. One item, one record

A shirt can change hands, have a nameset applied after its sale or be a reissue of an older design. A useful record keeps those details separate. Give each item your own identifier and use it in its photo filenames too. You do not need to publish your collection or create another account.

Copy the blank tables into your own document or chat draft and fill them in there. The cells in this guide are a template; they cannot be completed or saved on this website.

This template is an editorial suggestion from Pandabuy Jerseys. It helps you prepare questions and compare information; it does not certify authenticity, assign market value or replace an agreed external assessment.

2. Separate the shirt from its additions

Record the team and design season, with a separate field for the documented edition or manufacture date. Do not turn a year in a listing title into the date of the physical item. Treat names, numbers, patches and any replacements as components with their own history.

Record sectionAvailable detailSource or photoTo confirm
Shirt: team, design and edition_________
Label and transcribed code_________
Name and number: source and application date_________
Patches, sponsor or declared alterations_________

If the seller says a print is from the period, keep that description as “according to the seller” and ask what documentation supports it. If its application date is unknown, write “date unknown”. A code or label alone does not establish the origin of every component.

3. Give every detail a source

  • Observed: describe what a specific photo shows and who took it and when, if known.
  • Stated: keep what the listing or seller says, together with the link and access date.
  • To confirm: record the question and the missing photo or document; do not fill the gap with an assumption.

Distinguish “not visible in this photo” from “not present”. A forgotten purchase date can remain unknown; a design used across several years can have a date range. Keep the earlier version of your record when new information arrives.

4. Compare the listing with arrival information

Before agreeing checks, link each reference photo to the correct item. When new photos arrive, use the same areas: front, back, labels and print details. Different lighting or framing may call for another image; it does not by itself demonstrate a change in condition.

Differences still to clarify_________

Describe a crack, raised edge, mark or colour change with its location and a photo. Do not assign a cause or test it with heat, washing or adhesives. If information differs from what was agreed, leave the issue open and request clarification before confirming the next step.

5. Bring the record to the shipping conversation

  • Match each item to its identifier and the tags, accessories or packaging you want to keep.
  • Mark the nameset and sponsor positions, existing marks and your folding or separation preferences. Packing is agreed for each item.
  • Share only the information needed for the service. Keep receipts and personal details out of a public record.

The record does not authorise repairs, a purchase or shipment. Confirm separately which checks will be made, what remains unverified and which items should travel together. Arrival photos alone are not an authenticity certificate.

6. Where this proposal comes from

These conversations identify specific questions. OkMongoose3734 (Reddit, 5 February 2026) describes records scattered across several tools; commenter FS_Collector asks to leave an acquisition date unknown. pistox84 (Reddit, 4 June 2026) asks separately about a reissue and the origin of its nameset. We do not adopt replies as conclusions about that item.

In a River Plate comparison (YouTube, 3 January 2022), millonariocamisetas compares two reissues, including their collars, crests and labels (00:00–00:49). We Fix Kits (YouTube, 24 February 2025) discusses folds across prints (03:30–04:25). We read the automatic captions, which can contain errors; these preferences are not treated as a conservation standard. The tables and source separation are our editorial proposal.

7. Fill the gaps you need to resolve

For missing images, start with photos to request. For visible signs, see the condition guide. Bring your record and open questions to the checks and shipping chat template, or use the purchase template if you are still reviewing a listing.
